Welcome to OffixPro CRM, a business software solution provided by BulkOffice Solutions (“we,” “our,” or “us”). OffixPro CRM (“the Platform” or “the Service”) is a cloud-based software system offering Customer Relationship Management (CRM), Project Management, Accounting, Human Resources (HR), Sales and Marketing Automation, and other business management tools.
Please read these Terms and Conditions (“Terms”, “Terms and Conditions”) carefully before using the OffixPro CRM website or subscribing to any of its services. By accessing, browsing, or using the Platform, you agree to be bound by these Terms. If you do not agree to these Terms in their entirety, you must not access or use our Platform.
These Terms and Conditions govern your use of our website, our software services, and your relationship with OffixPro CRM, accessible at https://offixprocrm.com (the “Website”), and any associated services and products made available through it.
1. ACCEPTANCE OF TERMS
By signing up for, accessing, or using OffixPro CRM, you confirm that you:

Have read, understood, and agreed to be bound by these Terms;

Are authorized to act on behalf of the company or organization subscribing to the Platform;

Will comply with all applicable local, regional, and international laws.
If you do not agree to any of the terms outlined herein, you must discontinue the use of the Platform immediately.
2. CHANGES TO TERMS
OffixPro CRM reserves the right to amend or modify these Terms at any time. We will provide notice of material changes either through the Platform, via email, or by updating the "Last Updated" date above.
Continued use of the Platform following the posting of changes constitutes your acceptance of such changes.
3. SERVICES OFFERED
OffixPro CRM offers cloud-based subscription services that include but are not limited to:

4. SUBSCRIPTION PLANS & PAYMENT TERMS
OffixPro CRM is offered on a subscription basis, with options for monthly or annual billing beginning immediately upon sign-up.
4.1 Subscription Packages

Standard Plan: Access to core CRM tools.

Business Plan: Includes Standard Plan + HR modules.

Enterprise Plan: Includes Business Plan + Accounting and Bookkeeping features.
4.2 Pricing
Prices are listed on the Website and are subject to change with prior notice. All prices are quoted in US Dollars (USD) or Ghanaian Cedis (GHS), depending on your location.
4.3 Payment Terms

All subscriptions must be paid upfront for the selected billing period.

You can select between monthly or annual payments at the time of subscription.

Subscriptions will automatically renew unless canceled prior to the end of the current billing cycle.

Clients may switch plans or billing periods, with the change reflected in the next billing cycle.
4.4 Additional Services

Module Add-ons: Optional modules can be added to your plan at additional monthly fees (GHS 50–200 per module).

Customization Services: Core code modifications or integrations are billed separately and agreed upon in a Service Level Agreement (SLA).

Training: Staff training is billed based on the number of users, duration, format, and location.
5. FREE TRIALS
OffixPro CRM may offer free trials of select features for a limited period. After the trial, you must choose a subscription plan to continue using the Platform.
We reserve the right to modify or terminate trial offerings at any time without prior notice.
6. ACCOUNT REGISTRATION
To use OffixPro CRM, you must register an account by providing accurate and complete information. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account.
You agree to notify us immediately of any unauthorized use of your account or any breach of security.
7. LICENSE & ACCESS
Subject to your compliance with these Terms and payment of applicable fees, we grant you a non-exclusive, non-transferable, limited license to access and use the Platform solely for your internal business purposes.
You may not:

Modify, copy, distribute, reverse engineer, or attempt to extract source code from the software;

Use the Platform to transmit unlawful, harmful, or offensive material;

Allow unauthorized third parties to access or use your account.
8. DATA OWNERSHIP & PRIVACY
You retain full ownership of your data. By using OffixPro CRM, you grant us a limited license to use your data solely to deliver and improve the services.
We are committed to protecting your data in accordance with our Privacy Policy.
OffixPro CRM follows industry-standard security protocols. However, no platform is entirely secure. You agree to use the Platform at your own risk and take responsibility for safeguarding your data.
9. CLIENT RESPONSIBILITIES
You are responsible for:

Ensuring your devices and internet connection meet the minimum technical requirements;

Maintaining updated billing information;
-
Using the Platform in compliance with applicable laws;
-
Managing your internal user access and data.
We are not responsible for any damages caused by your failure to meet these responsibilities.
10. TERMINATION & CANCELLATION
10.1 Termination by You
You may cancel your subscription at any time via your account dashboard. Canceling your subscription will not refund any unused portion of your current billing cycle unless stated otherwise.
10.2 Termination by Us
We reserve the right to suspend or terminate your access if:

You breach these Terms;
-
We detect fraudulent or illegal activities;

You fail to pay subscription fees on time.
Termination does not relieve you of your obligation to pay any accrued fees.
11. REFUNDS
Due to the nature of digital services, we do not offer refunds except under the following conditions:

Double payments due to billing error;
-
Inability to access the service due to verified technical issues originating from our servers;
-
Refund requests made within 3 days of the first subscription payment.
All refund decisions are at our sole discretion and must comply with our Refund Policy.
12. INTELLECTUAL PROPERTY
All content, code, design, logos, trademarks, and intellectual property used in the Platform remain the sole property of BulkOffice Solutions or its licensors.
You may not reproduce or redistribute any part of the Platform without our prior written permission.
13. LIMITATION OF LIABILITY
To the fullest extent permitted by law, OffixPro CRM and its affiliates shall not be liable for:

Indirect, incidental, special, or consequential damages;

Data loss, service interruptions, or system failures;

Damages exceeding the total subscription fees paid by you in the past 12 months.
14. INDEMNIFICATION
You agree to indemnify, defend, and hold harmless OffixPro CRM, its directors, employees, and affiliates from and against all claims, liabilities, damages, losses, or expenses arising out of your:

Violation of these Terms;

Misuse of the Platform;

Infringement of intellectual property rights;

Violation of any applicable law or third-party rights.
15. SERVICE AVAILABILITY & UPDATES
While we aim for 99.9% uptime, we do not guarantee uninterrupted service. Scheduled maintenance or technical issues may result in temporary downtimes.
We may update the Platform periodically to improve performance or add new features. These updates may be automatic and mandatory.
16. SUPPORT & COMMUNICATION
We provide technical support via email, support tickets, or live chat (during business hours). You agree to receive service-related communication, including:

Account and subscription notices;

System alerts and downtime notifications;
-
Promotional content (you may opt out anytime).
17. GOVERNING LAW & JURISDICTION
These Terms shall be governed and interpreted in accordance with the laws of the Republic of Ghana, without regard to conflict of law principles.
Any disputes shall be settled in the competent courts of Ghana.
18. ENTIRE AGREEMENT
These Terms constitute the entire agreement between you and OffixPro CRM concerning your use of the Platform and supersede any prior agreements.
No waiver or modification of these Terms shall be valid unless in writing and signed by both parties.
19. SEVERABILITY
If any provision of these Terms is found invalid or unenforceable, the remaining provisions shall remain in full force and effect.
20. FORCE MAJEURE
We shall not be held liable for any failure or delay in performance due to events beyond our reasonable control, including but not limited to:

Acts of God,

Power outages,
-
Internet service disruptions,
-
Natural disasters,
-
Government actions.
